  • Managing Your Own Schedule & Time

  • This role is designed to work from home although training will be provided if needed.

  • A basic understanding and comfortable talking to people about the assigned conference/event

  • Experienced  in conference and special events management - a plus

  • Flexible working hours/work from home and on-site

  • A friendly, dynamic team to work with

  • A clear role of responsibilities towards work

 

The Role:

  1. Develop and maintain positive and productive relationships with conference speakers

  2. Develop a network of speakers community partners and conference stakeholders.

  3. Conduct consultations/site visits

  4. Ensure speakers booking forms are completed correctly,

  5. Ensure speakers complete the checklist of requirements within a set timeframe

  6. Update speaker profile with relevant notes and maintain an organised physical file.

  7. Weekly Management Meetings by phone or virtual meeting to brief the leadership team

  8. Brief Head office, and Manager on event operations eg. Running sheet, speakers required

  9. Manage an inbox daily to communicate to speakers, attending to their needs/requests

  10. Send post-conference communication, along with a feedback survey to all speakers

  11. Request a selection of photos and permission for marketing and social media

  12. Review speaker’s feedback and identify opportunities for continual improvement

What we are looking for:

  • Relevant and proven experience

  • A friendly person with the ability to build good rapport with speakers

  • Highly organised with attention to detail

  • A great communicator with warm interpersonal skills

  • High level of personal presentation

  • A natural leader with a customer-focused attitude

  • Ability to conduct with people

  • Be contactable and able to manage a busy inbox of speakers communication

  • Ability to be flexible

  • Results-driven and a passion for success

  • Work collaboratively within the event team to plan speakers,

  • Manage speakers profile and timely report on all aspects, including all paperwork

  • Take a lead role in the coordination of printed and online educational resources such as fact sheets, posters, info,graphics and videos,

  • Source and coordinate guest presenters from the community for webinars and short videos to form engaging digital content.

  • Facilitate speakers for masterclass webinar sessions in a format developed collaboratively with the event/conference team.
